Re: Creative Playground Update
Date: June 17.2000 - - -
Early this year I was instructed by the Municipal Operations Committee to
fast track the replacement of the Creative Playground at Hayford Park. Their
intent was to order the new equipment as soon as the new face[ year began remove
the existing atrmmre in August, and install the new equipment in September.
Requests for proposals went out in early April and were returned by three
vendors later that month. Since that time we have been reviewing and comparing
the proposals received from the responding reactors. We have also taken road nips
in order to inspect several playgrounds purchased from the competing vendors. I
was ready to make a recommendation to this committee at your first meeting in July
so that the equipment could be ordered and we would remain on the original time-
table.
At some point during the prevent we became aware of a passible great in the
Dunt of $25,000 from the Slate Department of Conservation. With the City
Councils approval and the assistance of City Finance, Katherine Weber, we applied
for the grant. On June 1, 2000 we received correspondence from the State that oar
grant request was one of thirty-seven receiver], and would be reviewed during the
onthof July. The letter also noted that An project work %olicimton of bids,
signing of contrII expenditure of monies may be Inkinfed and notification of
approval is rancened and a project agreement is executer]. We do not expect
notification unt0late July or early August.
At Wis point I em requesting guidance from this Commiftee for the following
questions.
1. Do we continue on the fast track with this project and hehimulsh any
possibility of obtaining the III All of the information Supplied to the
public has indicated that the a" playground equipment will be inetalled
this fall.

2. Do we put Me prajec[ on 501E Until August knowing that if we receive the
Want the project will have to re -bid pushing the project into One
Spring/Sommer of 20011 The reason for Nat is the bid and review
process will fake roughly six weeks and delivery on the equipment will
Nke six to eight weeks. lfwe wait and are unsuccessful in obtaining a
grant the project may not be completed this year depending on
equipment delivery time and Ne weather.
Tbirty-seven (37) grant applications were received by the State, with the
intent of awarding ren guns.
Thank you for your input on this matter.
