Crnmientary:
The details of this agreement are outlined in the attached
memo to the City Manager.
The basic plan of this agreement is to replace the worn
out photocopier in the Council Chambers with the copier that
is currently used in Central Services and replace it with the
new copier.
The new copier will be provided under the terms of the
State contract for 1.95 cents per copy for the cost of the
equipment maintenance and all supplies except paper.

RE: Photocopier in Council Chambers
As we have discussed, the photocopier located in the Council
Chambers has over 900,000 copies and must be replaced soon.
After investigating all our options I am recommending that we
replace the photocopier in the Council Chambers with the Savin copier
that is currently in Central Services. We would then replace the
Central Services photocopier with a Konica 6069 that is available
under the State contract for a total coat of 1.95 cents per copy.
This amount covers the coat of the equipment, maintenance, and all
supplies except paper.
The contract agreement would last four years and the price would
remain the sees over this period. We also would guarantee monthly
usage of at least 35,000 copies or $682.50 per month. We currently
run close to 33,000 copies per month with a limit of 50 copies per
job. The new machine would allow us to run jobs up to 100 copies.
This cost compares with our current coat of shout lA cents per copy.
I recommend approval of this agreement because it locks in a very
goad cost per copy for the next four years and enables us to upgrade
our photocopy equipment without spending outlay funds. The new
equipment is also faster (60 copies per minute) and hopefully much
more reliable than the Minolta 970 that we have dealt with over the
last four years.
By this memorandum x recommend that you approve the four year -
agreement for the photocopier and request Finance Committee
concurrence with the award.

Sorter at "State of Maine" Konica Contract Cost Per Copy
.0195 based on actual volume or 35,000 month
Service and supplies are "All Inclusive". Contract covers
everything except paper.
Konica Cost Per Copy Program guaranteed for 48 months.
FINANCING
35,000 x .0195 = $682.50 per month.
