Committee Meeting
December 17, 1997

Meeting convened a[ 8:30 a.m.
The goal of the Technical Committee's recommendations Is when the word processing,
database and spreadsheet programs are chosen, everyone will be on the same system. No
one will be permitted to upgrade anything on their current system.
When choosing the server consideration needs to be given to size and if the server will be
able to handle the additional capabilities after the new cable provider installs fiber optics.
Eventually, when the City receives access to this system, every computer in the City will
be on the system.
Ed Barrett feels the first step in developing an overall approach Is a description of what is
being proposed. Phase I would be identification of who will be on the system and what
needs to be done in terms of bringing the system up. This will include the con for
original number of users for licensing, the cost to upgrade hardware that won't handle the
system, the cost to buy additional hardware for people who should be on the system and
the cos[ for extending the network, cables and any other communication equipment that
is needed. Phase It would be looking a[ the various other areas in the City and deciding
how to extend the system to them.
Ed brought up the procedures and policies on purchasing the PC's that people need. One
of the basic principles to be followed in purchasing Is that It have local, knowledgeable
service. There should be some kind of criteria set up as to what the baseline standard
should be. It was suggested to narrow the vendors down to possibly three and keep it to
that.
Dave Little asked if the needs of the Councilors will be incorporated into Phase I. Ed
Barrett stated that once this information is documented, there will be a meeting with the
whole Committee showing the immediate steps to be taken.
Action Items:
1. Investigate other E-mail packages
2. Further investigate what server is best
3. Finish gathering information from departments including PC equipment, which
machines are capable of handling the software produce being recommended, the
users hooked Into the system, and the applications that are being used
4. Bill laPan will put together minimum specs that must be met for all computers
purchased.
S. Come up with the top 10 vendors and narrow them down to 3-4 that may be
used.
