Martval Committee Members Absent: Bill Eastman, Jim Greer Meeting Convened at 6:30 a.m. Minutes of June 26, 1997 Meeting Accepted 1. Tlec4nf CnrgCvatem:. A] Douglas drew a rough diagram of what the core system will look like The concept of the Core System is that there will be a server in City Hall and off (he server there will be an operator's terminal. The software on the server will be the applications, E-mail system and the Internet access. The other software that will be on the server will be the network software. All the Councilors will have notebooks so that they tie into the server and get into the necessary software. A printer will also be located on-site. Anyone who has a desktop will be able to log into the server. It will require software being installed on desktops to be compatible with the server. Standard applications for word processing & spreadsheets will come through the server. Will the Core System be the software home base? Staff feels employees should have the oppormrmy to have other software on their machines if wanted. They should not have to go through the server every time they need to do a spreadsheet, etc. M Douglas suggests that on a Departmental level, there should be the opportunity to purchase other packages. Some Departments have special needs. One downside is the ability to convert programs. Will employees be able to easily do this? Question to the Committee: Should everyone be on a home base, but also be able to do other applications from Weir machine or should everyone be only on the server? With the network, you will have the ability to share documents but will also have your own documents and limit access m them. Sgsttan Softws Suggestions: Office 97 WindowsNT (E -Mail, Imemet & Security Services Included) WordPerfect Corel Software Needed to Connect the Servers Together Before a software program is selected, Dave Little suggested distributing a survey to see what programs are currently used and how much they are used (daily, once in while, etc.) Committee agreed to this suggestion. Al Douglas will recommend this survey to the Strategic Commince. One concern is that whatever software is chosen, systems will have to be changed and upgraded to whatever is on the server. Dave Little clarified that you will still have everything that is on your machine, but if you want to send anything to a Councilor, it will have to be through the server. On that server, all the different sits have to be able to tap into the software, Council Agenda, etc. Al is suggesting a shared directory on the server. If you have to send something to a Councilor or add something to the Agenda, you would send it to the shared directory. Staff needs to keep in mind software costs, etc, associated with the purchase of my new PC's because when the recommendation is given to the Council, cost will definitely be a factor. 3 Deck Alpha Server (800 Seri", which has WindowsNT, E -Mail & Internet Access) Cables Lines Hub Operator's Monitor Punter (on site at City Hall) Notebooks (9 Councilors) Q. To be included on the survey will be a question as to whether or not the individual has Pentamation. The server will cover the issue of networking. Al Douglas will go to the Strategic Committee and make the recommendation regarding the survey. When he gets feedback he will contact everyone on Committee. A copy of the survey will be sent to all Committee members for comments, additions, changes, etm. before being distributed. Next Meeting will be July 23 at 8:30 a.m. Meeting Adjourned at 9:35 a.m.
